Assistant Facility Manager

About the role

The Assistant Facility Manager supports the Facility Manager in ensuring smooth day‑to‑day operations of the organization’s buildings and services. This role involves coordinating maintenance, managing vendor relationships, and helping maintain a safe, efficient work environment.

Key responsibilities

• Support daily facility operations, monitor building systems, and coordinate repairs and maintenance.
• Assist in vendor and contractor management, obtain quotes, review contracts, and oversee work quality.
• Help maintain health and safety compliance through risk assessments, emergency planning, and security protocol adherence.
• Contribute to space and asset management, including moves, space audits, and inventory tracking.
• Aid budget monitoring by tracking expenses, reviewing invoices, and identifying cost‑saving opportunities.
• Facilitate communication with tenants, employees, and stakeholders regarding updates, schedules, and service requests.
• Support sustainability initiatives by monitoring energy use and promoting energy‑saving measures.
• Maintain accurate facility records, prepare reports, and analyze data for continuous improvement.
